{"id":837,"date":"2012-09-27T22:26:21","date_gmt":"2012-09-27T22:26:21","guid":{"rendered":"http:\/\/microsoftgeek.com\/?p=837"},"modified":"2012-09-27T22:41:28","modified_gmt":"2012-09-27T22:41:28","slug":"shared-mailbox-deleted-and-sent-items-separation","status":"publish","type":"post","link":"https:\/\/microsoftgeek.com\/?p=837","title":{"rendered":"Shared Mailbox deleted and sent items separation"},"content":{"rendered":"<p>Most of us who has used <strong>Shared Mailbox<\/strong> in Microsoft  Exchange environment, met with users complaints that emails which they  sent a message using the shared mailbox account goes to<strong> Sent Items<\/strong> personal mailbox.<\/p>\n<p>This behavior is normal for example when we use Microsoft Outlook  with a personal mailbox and automapped shared mailbox. Then when we delete  or send message from shared mailbox account, the message goes to  a personal recycle bin or sent items.<\/p>\n<h2>How can we separate Shared Mailbox deleted and sent items ?<\/h2>\n<p>We have two solutions to separate sent and deleted items:<\/p>\n<ol>\n<li>Use Microsoft Outlook 2010 and add shared mailbox as normal mailbox account<\/li>\n<li>Change windows registry on client computer with different Outlook versions<\/li>\n<\/ol>\n<h3>1. Use Microsoft Outlook 2010 for Shared Mailbox to separate sent and deleted items<\/h3>\n<p>When you use Microsoft Outlook and you get permissions to a shared mailbox, this mailbox will be automapped in Outlook.<\/p>\n<p>After setup when you send a message from shared mailbox this message will be saved  in sent items of your personal mailbox. This behavior often is unwanted.<\/p>\n<p>To make Outlook 2010 to save all sent items or deleted items from  shared mailbox to sent items folder or deleted items folder in shared  mailbox you have to add shared mailbox as equivalent mailbox in Outlook.<\/p>\n<p>Close Microsoft Outlook 2010 client, and go to Control Panel, Mail \u00a0next in <strong>Mail Setup \u2013 Outlook<\/strong> window choose:<br \/>\n<strong>E-mail Accounts\u2026<\/strong><\/p>\n<p>Next in Account Settings window choose New\u2026, and select<\/p>\n<p><strong>Manually configure server settings or additional server types<\/strong><\/p>\n<p><a href=\"http:\/\/microsoftgeek.com\/wp-content\/uploads\/2012\/09\/Outlook_manual2.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-medium wp-image-846\" title=\"Outlook_manual\" src=\"http:\/\/microsoftgeek.com\/wp-content\/uploads\/2012\/09\/Outlook_manual2-300x241.png\" alt=\"\" width=\"300\" height=\"241\" srcset=\"https:\/\/microsoftgeek.com\/wp-content\/uploads\/2012\/09\/Outlook_manual2-300x241.png 300w, https:\/\/microsoftgeek.com\/wp-content\/uploads\/2012\/09\/Outlook_manual2.png 794w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/><\/a><\/p>\n<p>Click Next, select <strong>Microsoft Exchange or compatible service<\/strong><br \/>\nand in next window enter the Exchange Server and User Name (Shared Mailbox name).<\/p>\n<p><a href=\"http:\/\/microsoftgeek.com\/wp-content\/uploads\/2012\/09\/Outlook_manual11.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-medium wp-image-847\" title=\"Outlook_manual1\" src=\"http:\/\/microsoftgeek.com\/wp-content\/uploads\/2012\/09\/Outlook_manual11-300x202.png\" alt=\"\" width=\"300\" height=\"202\" srcset=\"https:\/\/microsoftgeek.com\/wp-content\/uploads\/2012\/09\/Outlook_manual11-300x202.png 300w, https:\/\/microsoftgeek.com\/wp-content\/uploads\/2012\/09\/Outlook_manual11.png 672w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/><\/a><\/p>\n<p>After you fill all information select Next and Finish.<\/p>\n<h3>2.\u00a0Change windows registry on client computer with different Outlook  version to separate sent and deleted items from shared mailbox<\/h3>\n<p>If you don\u2019t use Microsoft Outlook 2010 but 2007 or 2003 and you work  with shared mailboxes, you can make a change in windows registry to make  Outlook automatically move messages sent or deleted from shared  mailbox to the shared mailbox folders not your personal mailbox.<\/p>\n<p>As xx.0 write used Outlook version:<\/p>\n<ul>\n<li>14.0 \u2013 Microsoft Outlook 2010<\/li>\n<li>12.0 \u2013 Microsoft Outlook 2007<\/li>\n<li>11.0 \u2013 Microsoft Outlook 2003<\/li>\n<\/ul>\n<p>Before you will add or change registry for Microsoft Outlook 2007 or 2003 install belowed hotfix:<\/p>\n<p>Microsoft Outlook 2007 install the June 30 2009 hotfix, <a title=\"KB970944\" href=\"http:\/\/support.microsoft.com\/kb\/970944\" target=\"_blank\">KB970944<\/a><\/p>\n<p>Microsoft Outlook 2003 install the June 18 2008 hotfix <a title=\"KB953803\" href=\"http:\/\/support.microsoft.com\/kb\/953803\" target=\"_blank\">KB953803<\/a><\/p>\n<p><strong>To move deleted items in the Shared Mailbox Deleted Items folder:<\/strong><\/p>\n<p>If user has author rights to the shared mailbox and you need to move deleted items to the Deleted Items folder in  shared mailbox, then you have to add this key to the registry:<\/p>\n<pre>HKEY_CURRENT_USER\\Software\\Microsoft\\Office\\xx.0\\Outlook\\Options\\General\r\nDWORD: DelegateWastebasketStyle\r\nValue: 4 (use shared mailbox's Deleted items)\r\nValue: 8 (use the default deleted items folder)<\/pre>\n<p><strong>To move Sent items in the Shared Mailbox Sent Items folder:<\/strong><\/p>\n<p>Change registry on client windows computer, and add this key to the registry:<\/p>\n<pre>HKEY_CURRENT_USER\\Software\\Microsoft\\Office\\xx.0\\Outlook\\Preferences\r\nDWORD: DelegateSentItemsStyle\r\nData Value: 1<\/pre>\n","protected":false},"excerpt":{"rendered":"<p>Most of us who has used Shared Mailbox in Microsoft Exchange environment, met with users complaints that emails which they sent a message using the shared mailbox account goes to Sent Items personal mailbox.
